ATS Field privacy policy
ATS Field is the work app of Access Tech Security ("ATS", "we"). Only people ATS sets up can use it: our employees and the workers we authorize. This page says what the app collects, when, why, and who handles it for us.
What we collect, and when
- Your account: your name, work email, phone number, role, trade class and language, as the office sets them up, and a profile photo if you add one.
- Sign in: your email address and the one time codes we email you, handled by our sign in provider, Clerk.
- Location (precise): only while you use the app, at the moments you act: when you clock in or out, start or end a break, arrive on site, check in at a job, or send a report or receipt. It shows whether you were on site and records where the work happened. The app shows your distance to the job and the weather while it is open. It never tracks you in the background or when you are off the clock.
- Time records: clock ins and outs, breaks, the break statements you confirm, hours, overtime, the office’s approvals and any correction the office makes, with its reason.
- Your work: daily reports and forms (your answers, photos and notes), receipts (the photo and what is printed on it: store, date, amounts, and a card’s brand and last four digits only), tasks, schedules, and messages to your team, including voice messages.
- Questions to ATS AI: what you type or say to the assistant, and any photo you choose to send it.
- Microphone and camera: used only while you record a voice message, talk to ATS AI, or take a photo. Spoken words are turned into text by your phone’s own speech recognition (Apple or Google), which may process the audio on their servers.
- App health: the app version and phone system it runs on, when you last used it, and error reports (the error and the screen it happened on, not the content of your work).
Why we use it
We do not sell your information, share it for advertising, show ads, or track you across other apps or websites.
- To track time and run payroll correctly, including California meal and rest break rules and overtime.
- To coordinate jobs, crews, schedules and tasks, and to keep a record of the work done on site.
- To reimburse and account for job purchases.
- To let the team message each other and get answers from ATS AI.
- To keep the app secure and working, and to fix problems.
Who sees it at ATS
- You see your own time, reports, receipts and messages.
- Office staff (admins and project managers) see time records, where punches and reports happened, reports, receipts and messages, to run payroll and manage jobs.
- Your crew sees the jobs you share, the messages you send them and the tasks between you. Crews never see pay amounts or office notes.
- Our staff portal and our payroll and accounting systems receive your records for the same purposes.
Companies that process it for us
Each of them may use the information only to provide its service to us.
- Cloudflare: hosts the app’s server, database and photo storage.
- Clerk: signs you in.
- Anthropic (Claude): reads receipt photos, answers ATS AI questions, and translates reports written in Spanish into English for the office, under our company account and Anthropic’s commercial terms.
- The US National Weather Service (NOAA): the public weather service the app asks for the weather. It receives a location rounded to about a kilometer, never who you are.
- Expo: passes the app’s notifications on to Apple and Google, and delivers the app’s updates. A notification carries a short title and line, such as who wrote and the start of the message.
- Apple and Google: deliver the app and its updates, and provide your phone’s speech recognition and notifications.
How long we keep it
We keep your information while you work with ATS. Time, pay and job records are kept afterwards for as long as California and federal law require us to keep payroll and employment records. Other content is deleted when you ask, unless the law requires us to keep it or it is part of a job record we must keep.
Your choices and rights
- You can turn off location, camera, microphone and notifications in your phone’s settings. The app keeps working; some steps (such as the on site check) will not.
- You can ask to see, correct or delete your information. In the app, open Profile and tap Ask to delete my account, or email us. See how deletion works.
- If you live in California, California law may give you more rights over your personal information, including to know, correct, delete and limit the use of sensitive information such as precise location. We use precise location only for the purposes above. We will not retaliate against you for asking.
Security
Everything the app sends travels encrypted (HTTPS). Access is limited by role, sign in uses one time codes, and records are kept in accounts that only ATS controls.
Children
ATS Field is for adults at work. It is not for anyone under 18.
Changes
When this policy changes we update this page and the date below. Big changes are also announced in the app.
